Build Smart and the BuildShift app · Last updated October 29, 2026
Who we are
Build Smart Technologies LLC ("Build Smart", "we") makes Build Smart, BuildTrace and the BuildShift app. Build Smart is based in Texas and Oklahoma. Questions about this policy: zoe@buildsmarttech.com.
Who this covers
Visitors to buildsmarttech.com, people at companies that use Build Smart, and workers who use the Build Smart and BuildShift apps. Build Smart is used by companies; your employer decides which of its people use it and is responsible for its own records.
What BuildShift collects
Location: BuildShift collects your phone's location, including when the app is closed or not in use, only to check whether you are inside one of your company's job sites, so it can clock you in when you arrive and out when you leave. It does not track where you go outside job sites. The location saved is the point where you were clocked in or out.
Material tracking (the Build Smart app): after you accept your company's list of locations in the app, the app uses your phone's location, including when the app is closed, only to know when you are at one of those locations (warehouses, yards, job sites, offices). While you are there, it records which of your company's tagged material is near you, so your company knows where its material is. It stops when you leave and does not track where you go outside your company's locations. What is saved: the tagged item, the time, and the company location where it was near you.
Your account: your name, username, job classification and employee number, as your company sets them.
Time and pay: clock-in and clock-out times, job sites, time off requests, per diem, incentives, hours and pay amounts your company enters or approves.
Your phone: a device identifier so your account only clocks in from your approved phone, and a notification token so we can send you notifications.
Messages you send to your company in the app.
What the website and Build Smart collect
Information you type into forms (like your name, work email, company and phone), records your company keeps in Build Smart, sign-in and security records (like the time, IP address and two-step sign-in), and basic technical information needed to run and protect the site.
How we use it
To run Build Smart and BuildShift for your company: time cards, payroll exports, job site assignments, notifications and messages. To keep accounts secure and prevent misuse. To measure how a company uses BuildShift, including to prepare its price. To respond when you contact us. We do not sell personal information, and we do not use it for advertising.
Who can see it
People at your company, based on their role. A worker sees their own time and pay; the office sees its crew's. Build Smart staff, only to support and run the service. Service providers that host and run Build Smart for us (database and hosting, email delivery and phone notifications), only to provide those services. We may also share information if the law requires it.
How long we keep it
We keep your company's information while it uses Build Smart, and as its agreement with us requires after that. If a free trial ends without continuing, the company may ask for a copy within 30 days, after which we may delete it. Your company may keep its own copies longer, for example for payroll records.
Your choices
You can turn off location or notifications for BuildShift in your phone's settings at any time. If you do, BuildShift can't clock you in autonomously and you may need to clock in by hand or talk to your office. To see, correct or delete your information, contact your company, or email zoe@buildsmarttech.com.
Security
Build Smart uses encrypted connections, two-step sign-in for office accounts, per-company access rules, and phone locking for BuildShift accounts. No system is perfectly secure, so please tell us right away at zoe@buildsmarttech.com if you think your account was misused.
Children
Build Smart and BuildShift are for working adults and are not meant for children under 16.
Changes
If we change this policy, we'll update the date at the top, and tell companies using Build Smart about important changes.
